# Film Scan Processing

OrderHub provides a complete workflow for processing film orders — from receiving the film through to delivering scanned images to the customer via a branded gallery.

***

### Overview

The film scan workflow in OrderHub:

1. Customer places a film processing order on your storefront
2. The order arrives in OrderHub via webhook
3. Film is processed and scanned at your lab
4. Scanned images are uploaded to OrderHub (manually or automatically via Desktop)
5. Scans are associated with the customer's order
6. Customer receives an email with a download link and gallery access
7. Customer can view, download, and order prints from their scanned images

### Uploading Scans

#### Manual Upload (OrderHub Web)

1. Go to the **Film Scans** section in OrderHub
2. Click **Upload Scans**
3. Drag and drop the folder of scanned images
4. The scans appear in the "Needs Processing" queue

#### Automatic Upload (OrderHub Desktop)

If you have OrderHub Desktop installed:

1. Configure a watched folder pointed at your scanner's output directory
2. As each frame lands in the folder, it is automatically uploaded to OrderHub
3. The desktop app applies **AI auto-rotation** — detecting portrait, landscape, and upside-down scans and correcting orientation before upload
4. Scans are matched to the correct order automatically using frame numbers and job IDs

Film scan uploading must be enabled for your location in **Settings > Locations**.

### Associating Scans with Orders

Once scans are uploaded, they need to be associated with the correct customer order.

1. In the Film Scans section, select the uploaded rolls
2. Enter the order ID (you can also scan this from the order ticket)
3. The scans are linked to the customer's order

Once associated, the scans move to **Gallery Pending** status. OrderHub processes them and prepares the gallery.

### Customer Delivery

After processing (usually within a minute or two), the customer receives an email containing:

* A **download link** — takes them to a branded page where they can download all scans as a ZIP or browse individual rolls and download one at a time
* A **gallery link** — takes them to their Pixfizz account where they can view the scanned images and order prints directly

#### Download page features

* Branded with your store's branding and custom domain
* Download all as ZIP or browse by roll
* Individual file download
* Order prints directly from the gallery

#### File format notes

* TIFF files are supported for gallery and download
* If a customer adds a scanned image to a product (e.g. ordering a print), it is converted to JPEG
* Downloads preserve the original format (TIFF stays TIFF)

### Configuration

#### Gallery settings

Go to the film scan configuration to set:

* **Branding** — select which brand to use (if you have multiple)
* **Auto-create gallery** — toggle whether galleries are created automatically
* **Email delay** — how long to wait after processing before sending the notification email (to allow all scans to finish uploading)
* **Custom domain** — use your own domain for the gallery and download pages
* **Custom messaging** — the body text of the notification email

### Tips

* For high-volume film processing, the automatic upload via OrderHub Desktop saves significant time compared to manual drag-and-drop.
* The email delay setting is useful when uploading large batches — it prevents the email from sending before all scans have finished processing.
* Use tags (e.g. "Wedding", "Memorial") on film orders to trigger targeted product recommendations in the gallery.
* The gallery and download page can be fully branded with your store's visual identity.
